Client emails routed to the right accountant, even at quarter end
AI email assistant
Accounting clients use email when a matter feels formal: a letter from the tax office, a request for a certificate, a reply to your month-end reminder. Nolloi's email assistant sorts incoming mail by client, request and period, acknowledges it in your firm's name and routes it to the accountant in charge. Status and tax questions go to people. It is built in a custom deployment, scoped with your firm.

A typical situation
The shared inbox of a firm with several accountants fills all quarter: clients replying to the month-end reminder, a bank asking for certified accounts, a new company asking about bookkeeping, a client mentioning a letter about a late filing. Nobody owns the shared inbox, so each partner skims it between meetings and some messages slip. With the assistant, every email is tagged with the client and period and placed in the right accountant's list, the new company is offered a meeting, and the late-filing letter is flagged as urgent for the partner as soon as it arrives.
Example
- CustomerSubject: Re: October documents. Hi, October bank statements attached, sales invoices to follow on Monday. Also, I got a letter about a late payment penalty. What should I do?
- AI assistantHello, and thank you for your email. I have noted for Daniel, who handles your company: October bank statements sent tonight, sales invoices to follow on Monday. The penalty letter needs Daniel's attention, so I have flagged it as a priority. Could you tell me the date on the letter and any deadline it gives?
- CustomerDated 2 November, it says to pay within 30 days.
- AI assistantThank you. Noted: letter dated 2 November, payment requested within 30 days. I can't advise on penalties myself, but your message is complete in Daniel's list and he will reply to you on Monday.
- CustomerOK, thanks.
- AI assistantYou're welcome. Have a good weekend.

How it works
Mail reaches the firm's shared address
The assistant handles the addresses you choose. Each accountant's personal mailbox stays private unless you decide to include it.
It recognises the client and the request
From the sender and the wording: which company, what kind of request, which period, any deadline, and the documents the client mentions.
It acknowledges in your name
A short reply confirming receipt and who will handle it, in the client's language, signed as the firm's AI assistant. Categories you prefer to answer yourselves get no automatic reply.
It routes and flags
The request goes to the accountant linked to that client in the team app. Letters from authorities, deadlines and complaints are flagged for the person you named.
What you decide
What you decide
- Which addresses the assistant handles, and the signature on its replies.
- How clients are recognised: sender addresses and company names linked to each accountant.
- Which categories get an acknowledgment, which are filed without a reply, and which are flagged.
- What is urgent, such as tax authority letters, inspection notices or filing deadlines, and who receives it.
What it does not do
- It is built in a custom deployment, scoped with your firm; the standard plans cover WhatsApp, not email.
- It gives no tax or accounting advice and tells no client whether a filing is done.
- It does not process or check attachments; it notes what the client writes about them, and the files stay in the email for your team.
- It never sends figures, statements or documents to clients on its own.
Questions
Can it tell a client whether their return has been filed?
No. It cannot see your filings, and status belongs to the accountant. It acknowledges the question, notes the company and period, and puts it in the accountant's list so the client hears from the person who knows.
How does it know which accountant handles a client?
At setup we link each client's sender addresses and company names to the accountant in charge. Unknown senders go to a general list for your team to sort.
Can it work with our WhatsApp assistant?
Yes. Both channels follow the same routing rules and file into the same team app. WhatsApp, including live answering of WhatsApp calls on Business OS and Prestige, is in the standard plans; email is added in a custom deployment.
Let's talk about your business.
One message is enough. We answer on WhatsApp or by email, and you decide what happens next.
