Your school's WhatsApp, answered for every family

WhatsApp AI receptionist

Most parents already message the school on WhatsApp, often from the car or late in the evening. Nolloi's WhatsApp receptionist replies to each of them in their language, with what your office approved: which levels you teach, when enrolment opens, what to bring, how to arrange a visit. Absence messages reach the person who keeps the register, and every exchange lands in your team app.

A typical situation

It is the first week of June. Admissions has three visits a day, end-of-year exams are under way, and the school's WhatsApp shows dozens of unread chats. Half ask whether a level still has room; others want the documents list, the nearest bus stop to a new address or this week's canteen menu. Two are absences for tomorrow, and without help they get buried. With the assistant, each enquiry is answered within moments, visits sit in the admissions calendar, and both absences are already with the supervisor before the evening ends.

Example

Example conversationTuesday, 7:05. A father writes before the school day starts.English
  1. CustomerGood morning, Adam in 5B is sick, he won't come in today.
  2. AI assistantGood morning, I'm sorry Adam is unwell. I have noted: Adam, class 5B, absent today, and I'm passing it to the supervisor now. Should I note today only, or do you expect a longer absence?
  3. CustomerProbably back Thursday. He has a maths test today though, can he retake it?
  4. AI assistantNoted: likely back on Thursday. Retakes are decided by his teacher, so I have added your question to the message for the supervisor, who will pass it on. Anything else for the school this morning?
  5. CustomerNo, that's all, thanks.
  6. AI assistantThank you. Wishing Adam a quick recovery.

How it works

  1. The parent types or records

A text or a voice note, at any hour. The reply comes in the parent's own language, signed with the name the school chose for its assistant.

  2. It works out what the family needs

Enrolment, a visit, an absence, the bus, the canteen, fees, or something personal. Each kind of message follows the rule your office set for it at setup.

  3. It answers or books

Practical questions get the approved answer. Visits and admissions meetings are offered only in the slots the office opened, and the parent receives a reminder beforehand.

  4. It passes the rest to a person

Absences go to supervision, fee questions beyond the approved sheet to accounts, anything about a pupil's file to the staff concerned. The team app shows who holds what.

What you decide

What you decide

  • The school's WhatsApp number the assistant answers on, and the name it gives parents.
  • What parents may be told: enrolment dates, levels, documents per level, hours, and transport and canteen details when the school runs them.
  • The visit and admissions slots, and the reminder families receive before coming in.
  • Who receives absences, fee questions, complaints and anything touching a pupil's file.

What it does not do

  • It does not confirm a place in a class: the admissions office does.
  • It does not discuss a pupil's grades, behaviour, health or family situation, even with a parent.
  • It does not quote fees beyond the sheet the school approved, nor agree to discounts or payment plans.
  • It does not answer the school's ordinary phone line; that is a separate AI phone agent, built in a custom deployment.

Questions

Can it answer when a parent calls the school on WhatsApp?

On Business OS and Prestige, yes: it answers WhatsApp calls live, by voice, in the school's tone. On every plan, a missed WhatsApp call gets an instant written reply so the parent can carry on in writing.

Will parents know they are writing to an AI?

It introduces itself with the name you choose and never pretends to be a person. If a parent asks, it says plainly that it is an AI assistant and offers to pass the message to a member of staff.

What if one parent writes about two children in different classes?

It notes each child with the class the parent gives and files them as separate requests, so each supervisor or teacher receives only the message that concerns them.

Can it share the canteen menu or bus times?

Yes, if the school runs those services and gives us the information. When the menu or a route changes, your office updates it and the assistant uses the new version from then on.

One message is enough. We answer on WhatsApp or by email, and you decide what happens next.
